If you have ever copied data from a form into a spreadsheet, then emailed someone about it, you have done the kind of work n8n is built to take over. n8n (pronounced “n-eight-n”) is a workflow automation tool: you draw a flow of steps on a canvas, and it runs those steps for you whenever something happens.
How n8n works in one minute
A workflow starts with a trigger, such as a new form submission, a message, a schedule or a webhook call. After the trigger come nodes, each doing one job: read a Google Sheet, call an API, send an email, check a condition, ask an AI model to summarise text. Data moves from node to node as JSON items.
You build this on a visual canvas, so you do not need to write code for most tasks. When the visual nodes are not enough, a Code node lets you add small pieces of JavaScript.
What can you automate?
- Lead handling: capture a form entry, add it to a sheet, notify your team and send a confirmation message.
- Reminders: payment, appointment or renewal reminders on a schedule.
- Reports: gather numbers from several tools and send a daily or weekly summary.
- Messaging: notifications through Telegram, email or the WhatsApp Business Cloud API, within the rules of each platform.
- Data clean-up: move data between apps, fix formats and remove duplicates.

What n8n is not
n8n is not a magic button. Each workflow needs a clear process behind it, testing with realistic data and someone who owns it when something breaks. It is also not always the simplest option: if you only need one simple connection between two popular apps, a built-in integration in those apps may be enough.
